If you use this planner for organizing other birthdays you can keep the old files and reuse some of the information or ideas. The customizable cover is an easy way to keep everything separate!

There’s no better way to start planning an epic celebration than with the Overview sheet. This is the place where you set the stage and keep an eye on your budget as you bring your party to life.
👉Party Theme | Choosing a theme can be tricky! Think of the birthday person’s interests and preferences (travel, sports teams, a favorite era, clothing style….etc.).
You can also consider a theme based on an activity or experience such as a spa day party, game night bash, or crafting party, for example.
👉Colors | Once you figure out the theme, allow it to guide you when choosing the colors. You have 5 spaces where you can write down the colors, but you can also paint them using markers or pencils, or glue some patterns or photos for more complex decor.
👉Date, Time, Location | If you’re hosting the party at home all you have left to do is write that down. For a rented venue, try to book as soon as possible, and once you have all the details, return to this sheet and record them.
👉Budget Breakdown | I love being smart about spending and keeping track of your budget is exactly that. Here are the categories:

- Contingency – A little extra for peace of mind.
List the estimated costs for each category before you start purchasing. Set aside 5-10% of the total estimated cost for each of the Unexpected and Contingency categories. Now you can write down the total estimated cost.
As you’re organizing the party, track the actual costs. Do a final check, filling in the missing information once the party is done and the receipts are in.

⏳ Timeline
This essential timeline keeps your party planning organized and ensures you don’t miss a beat! If there’s one thing about planning a birthday that can go wrong, is doing things too late. The timeline makes it so much easier to plan ahead and avoid last-minute anxiety.
🔹 3 Months Before
- Choose Party Theme and Colors – This sets the tone for the entire party and gives you plenty of time to find decorations and create invitations.
- Set Budget – Deciding how much you can spend helps guide your decor, food, and activity choices. Don’t forget to write it on the Overview sheet!
- Research Décor and DIY vs. Buy – Explore stores and online inspiration to decide what you’ll buy pre-made and which items you’ll get crafty with!
- Set Date, Time, and Book Venue – Booking early is crucial, especially for popular venues or during peak seasons.
- Decide on Music Source and Book Entertainment – Do you want a DIY playlist, band, DJ, or a different kind of entertainer? Make those arrangements early!
- Research & Plan Menu – Start brainstorming meal and snack ideas that fit your theme and the size of your party.
🔹 2 Months Before
- Create Guest List – Consider the venue’s capacity and make sure you invite everyone you want to celebrate with!
- Send out Party Invitations – The invitations should be mailed or sent electronically at least 6 weeks before the party to allow everyone plenty of time to save the date.
- Finalize Menu and Food Source – Whether you’re catering, cooking yourself, or having a potluck, finalize your menu decisions now. Then, you can jump into planning portions and making grocery lists.
- Determine & Book Rental Needs – Do you need tables, chairs, linens, a bounce house, or any other rental equipment? Secure these rentals 2 months in advance, especially for popular party dates.
🔹 1 Month Before
- Order or Start DIY Decorations – If you’re ordering decorations or crafting supplies, place your orders a month in advance to ensure timely delivery.
- Purchase or Plan Party Activities – Decide on the games, crafts, or activities to be included. This is a great time to delegate tasks to friends or family who are offering to help.
- Finalize Guest List – Double-check your guest list and send a gentle reminder to anyone who hasn’t RSVP’d yet.
Pro Tip: Create a playlist to set the mood for your party. Choose upbeat tunes for games and activities, and calmer music for mingling and conversation.
🔹 2-3 Weeks Before
- Order Cake or Plan Dessert – Whether you’re baking a cake yourself or ordering one from a bakery, be sure to place your order at least 2-3 weeks in advance. This is also a good timeframe to choose a recipe if making it yourself.
- Purchase or DIY Party Favors – Decide on your favors, and get them assembled or purchased now.
🔹 1 Week Before
- Confirm Vendor/Entertainment Bookings
- Make Space in the Fridge for Food & Drinks – You might also want to invest in a cooler for additional beverage storage.
- Clean House (if celebrating at home) – Start with a general cleaning, focusing on common areas where guests will be spending most of their time.
- Finalize Guest List (Final Check) – Do a final RSVP check for any stragglers. This will give you a firm headcount for food and beverage servings.
🔹 3 Days Before
- Purchase Food & Drinks – Consider pre-chopping veggies or prepping any dishes that can be made in advance.
- Test Sound System/Speakers (if using playlist) – Test speakers, cables, and music playlists to avoid any party day glitches.
- Download Playlist (if using a streaming service) – If you’re relying on a streaming service for music, download your playlist now to avoid internet connection issues on the day of the party.
🔹 1-2 Days Before
- Confirm Vendor/Entertainment Arrival Times
- Final Cleaning Touch-ups
- Do a Pre-Setup of Tables & Chairs (if possible): If you have the space, pre-set the tables and chairs. Now is a great time to set out the table decorations and any other items that don’t require last-minute attention.
- Add Party Décor – Balloons, streamers, and centerpieces can be set up now, relieving any last-minute decorating stress.
🔹 Day of the Party
- Finish Decorating the Party Space
- Complete Last Minute Cooking Preparation: On top of food prep, make sure you have enough serving platters and utensils.
- Set up Food, Beverage, & Gift Tables
- Set Out Party Favors for Guests – Create a display near the exit, or plan to hand them out individually at the end of the celebration.
🔹 Day After the Party
- General Cleanup (take down decor, gather trash)
- Sort Leftover Food (dispose or store properly)
- Handle Returns of any Rental Items – Return any rental equipment or supplies to their respective vendors according to the terms of your agreement.
- Send Thank-You Notes to Guests – Send out handwritten thank-you notes or emails to express your gratitude for gifts and attendance. Use the included Guest List sheet to track the sending of the notes.

✔️Categorize & Prioritize | Don’t be afraid to use markers, stickers, and anything in between to sort and prioritize tasks.
✔️Add Due Dates | Setting realistic deadlines next to tasks will keep you accountable. It also helps with procrastinating non-urgent tasks. If you wrote them down, then they still need to get done!
✔️Delegate | If friends or family offer to help, don’t hesitate to give them some tasks from your to-do list. You have the ‘Assigned To’ field to help you keep track of that too.

This guest list goes beyond just names! It lets you track other crucial details such as RSVPs, invitation status, and even the post-party follow-up!
